I was advised to get the results I needed for a report to use "Keyword" field on the form.

I have searched and cannot for the life of me find how to add or even how to work a keyword, basically something that in plain English can explain it to me.

Is anybody able to point me in the right direction in finding such information??? I have the User Manual ALWAYS on hand but........   Undecided

Hello Mum,
You can add a Keyword field to your form by setting the Layout Element Adder in Sesame Designer to the following settings:

Select Element Type: Text Box
Bind Element To: New Keyword Field

When entering data into the field, separate entries with semi-colons.



Using Report Wizard To Create A Keyword Report

Open your application’s design file (dsr) with Sesame Designer.
Select Reports > Design\Redesign A Report > [YOUR DATABASE NAME] > Report Creation Wizard

In the Report Creation Window:
Enter a name for the report you are creating.
Click on the Next button at the bottom of the window.
Select the fields you would like to include in your report.
-      Be sure to select the Keyword field from your form.
Click on the Next button at the bottom of the window.
At the next screen, select the field you would like to sort by.
-      This should be the Keyword field.
Put a checkmark in the box labeled Break
Type a 0 (zero) in the field Characters
Click on the Next button at the bottom of the window.
The Report Wizard will offer you the ability to Total and Subtotal your data.
     - Select any Totals you would like to include in your report.
Click on the Next button at the bottom of the window.
Click on the Generate button.
Your report will be generated.
-      You can preview your report by selecting ‘Preview Report’ from the Commands menu

Select ‘Close Design Tab’ from the commands menu.
Select Application > Reconcile Existing Application.
-      Select your database file
Select ‘Reconcile Now’.
Close Sesame Designer.

You have successfully created a Keyword Report and reconciled your design change to Sesame.

The Keyword field refers to an element on your form that has been identified as a KEYWORD type of element.  that must be done to be available to select on the report.

When you add an element to the form, in the Bind Element To" To combo box, you should select New Keyword Field instead the normal New Text Field.  Now you can put values in that element that are separated by semicolons, like Plums;Apples,Artichokes;Pumpkins;Grapes;

You can retrieve records by entering any of those values without a wild card.  And if you select this field to sort in a report, you will get a grouping for each of the values that exist in the records.

Just a little clarification...

If I make my keyword field "Year" ( and if I read right, that field goes on the form, which is a subform)  when entering data that year changes, do I have to enter all the years or can I just enter the current year?  if so, do I enter it with ;  ???  as you can tell I am so confused.

A little background may help,  this db is for a Softball Association with all its registered players and officials.  Each year a new bunch of data is entered so when we need to pull reports its the current year that is used to bring up the information.  My problem at the moment is that the report brings up all the entries (years and their entries) and then I have hours of deleting to contend with.   I am trying to narrow things down to specifics.

It sounds like you are combining keyword fields and subforms. I think you want one or the other. Not both. Didn't you have a conversation about this with Bill recently? What did he tell you to do?

Yes it was him that told me to do it....  he quoted the sample Charitable Donors as something to look at. 

so you are telling me that I cannot have a keyword field in a subform?

I think I may need to speak to him again, its not easy trying to do things from Australia and for people to have patience with me while I try and fathom out what they are saying, trying to interpret into plain english and not progamme language.

You can have a keyword field in a subform.

Can you describe as clearly as possible what you have and what you need to do so we can speak in terms of your application instead of giving general instructions?
